Get started with the app
DatePick Scheduler is the phone app for businesses that take bookings on their online store with DatePick: salons, studios, rental shops, tour guides and more. The owner and their staff use it to see the day's bookings, handle walk-ins and check customers in.
Five words to know
New to Shopify?
You don't need to know Shopify to use the app. These are the only terms you'll come across.
- Shopify
- The platform many businesses use to run their online store. Customers book and pay on that store's website.
- DatePick
- The booking app the business adds to its Shopify store. It puts a booking calendar on the store and keeps every booking.
- Shopify admin
- The business's control panel on a computer, at admin.shopify.com. Only the store's owner and their staff with Shopify accounts can open it.
- DatePick Scheduler
- This app. It shows the bookings a store has taken with DatePick, so the owner and staff can run their day from their phone.
- Store code
- An 8-character code like K7QF-2MXP that lets you into one store. It only works for the email address it was made for.
Business owner
Connect your store
You need your phone and a computer where you can sign in to Shopify admin. Only the store's account owner can do this, and the code works only for the email of that Shopify account.
- 1
Sign in to the app
Open DatePick Scheduler and enter the email address of your Shopify account. We email you a 6-digit sign-in code; type it in. There is no password.
- 2
Get your code on a computer
Open Shopify admin, go to Apps › DatePick, then Team › Team access and click Give myself access. DatePick shows a store code and a QR code. (The app's own help may still call this Mobile app › Connect my phone; it's the same thing.)
- 3
Enter the code in the app
On the Connect a store screen, type the code or tap Scan QR code and point the camera at your screen. Check the store name, then tap to connect as Owner.
- 4
Your store opens
You land on Today. Turn on notifications when the app asks, so new bookings reach you straight away.
The code lasts 24 hours. Then invite your team from the same page with Invite someone.
Staff
Join your workplace
You don't need a Shopify account. Your access comes from an invitation, and the person who sends it decides what you can see and do.
- 1
Ask for an invitation
The store owner (or a manager who can manage staff) invites you from Shopify admin, under DatePick › Team › Team access › Invite someone. They need the email address you want to use.
- 2
Open the invitation email
You get an email from DatePick with a link and a store code. Open the link on your iPhone and it opens the app, already showing which store invited you.
- 3
Sign in with that same email
Enter the email address the invitation was sent to, then the 6-digit sign-in code we email you. If the app asks, type the store code from the invitation.
- 4
Accept and start
The app shows the store, your role and what you can do. Tap to accept, and your schedule opens.
Invitations last 7 days. If yours expired, ask for a new one: the old link and code stop working.
Not using DatePick yet
What you need first
- A Shopify store. DatePick works inside Shopify, so bookings are taken on a Shopify online store.
- DatePick installed on it. Install it from the Shopify App Store, add your services and opening hours, and customers can book on your website. There's a free plan.
- Then connect the app as the owner, using the steps above.
Work for a business that uses another booking system? DatePick Scheduler only shows bookings taken with DatePick.
Roles
What you see depends on your role
Everyone signs in the same way. The store gives each person a role, and the app only shows what that role allows.
Owner
The person whose Shopify account owns the store.
Everything in the app: every booking, customer and schedule, pausing the store, and the store's settings that the app shows.
Manager
Front desk, shop managers, anyone who runs the day for everyone.
Every booking, customer and schedule. Not staff, billing, refunds or pausing the store, unless the owner allows it.
Provider
Stylists, instructors, guides, therapists: the people customers book.
Their own bookings and schedule. The owner decides the rest, such as adding bookings or seeing prices and phone numbers.
A day with the app
What you can do
The app has five tabs: Today, Calendar, Bookings, Inbox and More. These are the moments it's built for.
A customer books online
You get an alert on your phone. Open it to see who booked, what, when, with whom, and whether they paid.
Someone walks in or phones
Tap New booking, pick the service and a free time, and add the customer. The time is taken on the website too, so nobody double-books it.
A booking needs your OK
Requests wait on Today. Approve them, or decline with a reason, and the customer is told.
A customer arrives
Check them in from the booking, then mark it completed, or mark a no-show if they never came.
Plans change
Move a booking to another time, or cancel it. The app shows what the customer will be told and refunded before you confirm.
You need time off
Block a few hours or a day under More › Availability, or use Pause bookings for a holiday. Existing bookings stay as they are.
Still done in Shopify admin, on a computer
- Setting up services, prices and opening hours
- Designing the booking calendar on the website
- Inviting staff and choosing what they can do
- Choosing a DatePick plan

Common questions
The app says “Connect a store”. What do I do?
You're signed in, but your email isn't part of any store yet. Owners: get a code with Give myself access (see above). Staff: ask the owner to invite you. The app can't create a store by itself.
My store code doesn't work.
A code only works for the email it was made for, so check the email shown on the Connect a store screen. If it isn't the right one, sign out and sign in again with that address. Codes also expire: an owner's code after 24 hours, an invitation after 7 days, and making a new one cancels the old one. Ask for a fresh code if in doubt.
I didn't get the sign-in email.
Check spam and promotions, and that the address is spelled right. You can ask for a new code from the same screen after a short wait. The email comes from DatePick (noreply@datepick.com).
It says my access is off.
The store's owner has switched off your access, or removed you. Only they can turn it back on.
Do my customers use this app?
No. Customers book on the business's website and get their confirmations by email. DatePick Scheduler is only for the people who work there.
Can I use it on a computer?
Yes. The same sign-in works at portal.datepick.com, with the same stores and the same access. Together, the app and the web version are called DatePick Team.
I work for two businesses.
Accept both invitations with the same email (or add the second under More › Connect another store). Switch between them with Switch next to the store name in More.
What does it cost?
The app is free to download. It comes with the store's DatePick plan, so staff don't pay anything.
Still stuck? Email support@datepick.com with the email you sign in with and what the app shows. In the app, it's under More › Email support.
